Change your TestRail Cloud billing cycle

TestRail Cloud is available with monthly and annual billing. Changing your billing cycle requires a request to the TestRail team. Updating your credit card in the TestRail Billing Portal does not change your billing cycle, since this option is available on both monthly and annual billing.

 

 

The billing-cycle options described in this article apply to TestRail Cloud. TestRail Server subscriptions are available with annual billing only.

Before you request a change

Review your subscription details in the TestRail Billing Portal. The Billing Portal uses separate login credentials from your TestRail instance.

To help the TestRail team process your request, include the following information:

  • Your customer number, which starts with K
  • Your TestRail instance URL
  • Your current billing cycle
  • The billing cycle you want to use
  • Your requested user tier, if you also want to reduce the number of billed users

You can find your customer number on your invoices, statements, or in the Billing Portal. For more information, see your account details.

Switch from monthly to annual billing

You can request a change from a monthly TestRail Cloud subscription to an annual subscription at any time.

To request the change:

  1. Submit a request.
  2. Select the appropriate billing or account-management topic.
  3. Provide your customer number, TestRail instance URL, current user tier, requested number of users to be purchased, and requested billing cycle.
  4. The TestRail team will reach out to you if any other information is needed and will generate and provide you a quote based on your requested user tier.
  5. After you approve the quote, TestRail will issue an invoice and apply the corresponding prepaid balance to your account.

We deduct charges for your purchased tier from the prepaid balance each month. For more information about annual subscriptions, see Subscription and billing options.

Switch from annual to monthly billing

An annual TestRail Cloud subscription can be converted to monthly automated credit-card billing when the current annual subscription ends.

Contact TestRail before your subscription renews and before your prepaid balance is depleted:

  1. Review your renewal information and remaining balance under Overview > Subscriptions in the Billing Portal. Make sure you turn off the auto renewal toggle (you can turn it on again after you go from annual to monthly, and before the auto renewal period, as the monthly subscription will automatically cancel on the next billing cycle if it remains off). 
  2. Submit a request.
  3. Select the appropriate billing or account-management topic.
  4. Provide your customer number, TestRail instance URL, current user tier, and request to switch to monthly billing.
  5. Follow the instructions provided by the TestRail team to complete the conversion and configure the credit card for recurring monthly payments.

Keep in mind that we cannot move the annual account to monthly if your account is not yet due for renewal. Monthly automated billing does not include the discount associated with an annual subscription.

Important: Do not use Edit Payment Details to request a change to your billing cycle. That option updates the credit card associated with a monthly subscription. If you have an annual subscription or cannot find the option, submit a request to the TestRail team.

Change your user tier

Changing the number of active users in your TestRail instance and changing your billed user tier are separate actions, and it is not an automatic change.

Monthly subscriptions

To reduce your billed user tier for future billing cycles:

  1. Deactivate the users in your TestRail instance.
  2. Submit a downgrade request so that the TestRail team can adjust your subscription tier.

After both steps are completed, the reduced user count takes effect in the next billing cycle. Monthly charges are based on the highest number of active users recorded during each billing month. Deactivating users later does not reduce the charge already established for that month.

Annual subscriptions

You can deactivate users in your TestRail instance at any time, but this does not automatically reduce your purchased user tier. Downgrades must be requested and can only be processed at renewal.

If you want to switch from annual to monthly billing and reduce your user tier at the same time, include both changes in your request.

Update your payment details

The Edit Payment Details option is documented for both monthly and annual TestRail Cloud subscriptions. To update the credit card associated with a monthly subscription:

  1. Sign in to the TestRail Billing Portal.
  2. Under Overview, select Subscriptions.
  3. Select Edit Payment Details.
  4. Enter the updated credit card information in the secure payment interface.

If you do not have access to the Billing Portal, submit an access request.

Review your billing information after the change

After the billing-cycle change is processed, you will receive a notification email regarding the change. You can then review your subscription under Overview > Subscriptions in the Billing Portal. You can also review statements and receipts under Recent Subscription Billing. Keep in mind that you can only view the last 24 months of statements and receipts.

If the billing cycle, user tier, invoice, statement, or charge does not match the change you requested, contact the TestRail team and provide:

  • Your customer number
  • Your TestRail instance URL
  • The original request or ticket number
  • The invoice or statement related to the charge
  • A description of the expected change

Troubleshoot an unavailable account

If payment for a monthly TestRail Cloud subscription fails and is not resolved, TestRail may temporarily disable the associated Cloud instance. A disabled account is not cancelled, and monthly fees continue to apply while it is disabled.

Check that the payment details for the subscription are current. If you cannot access the Billing Portal or the problem occurred while changing your billing cycle, submit a request and include your customer number and TestRail instance URL.
