TestRail Software provides multiple subscription options so that you can choose what billing frequency and method best suits your team. The options depend on how you would like to deploy TestRail for your team (TestRail Cloud vs. TestRail Server) and what payment method you would like to use.

TestRail Cloud – Monthly Subscriptions
1. How does billing work for subscriptions that are billed monthly?
TestRail Cloud is billed at the beginning of the month for the previous month's usage.
Since August 1, 2025, in compliance with our MSA, charges are based on the highest number of active users recorded during each billing month. Even if users are deactivated later, the system locks in that month’s peak user count.
How can I reduce my billed user count going forward?
To lower your billed user count in future billing cycles, please follow these steps:
Deactivate the users within your TestRail instance.
Submit a downgrade request so our team can adjust your subscription tier.
Once both steps are completed, your reduced user count will take effect in the next billing cycle.
2. What happens in case of failed payments?
If charges for the TestRail Cloud subscription cannot be completed, a notification will be sent to the billing contact on file. If the TestRail subscription payment is not resolved in a timely manner, TestRail Software reserves the right to temporarily disable the corresponding TestRail Cloud instance until payment can be provided. Disabled accounts are not cancelled, and standard monthly fees will still apply for the duration of the account’s disabled status.
For cancellation requests, please note that the account will only be fully closed in good standing once all outstanding payments have been settled.
3. How do I activate a TestRail Cloud subscription?
A monthly TestRail Cloud subscription can be activated within TestRail via the Administration > Overview tab. Enter the credit card details for all recurring monthly payments.
The TestRail 30-day trial period will complete before the commencement of monthly billing for a TestRail Cloud subscription. The first charge will be prorated based on the time remaining in the month following the trial’s expiration date.
All monthly fees are charged against a credit card linked to the TestRail Cloud subscription on the first business day of each calendar month.
4. How do I cancel my monthly subscription?
Your month-to-month TestRail Cloud subscription can be cancelled in 3 ways:
- Turn off the auto-renewal toggle from the TestRail Billing portal. You can read here on how to turn off the auto-renewal toggle.
- Fill out the form at this cancellation link.
- A cancellation request is submitted via the TestRail Help Center.
An important reminder: You must be an admin of the account to validate this request and confirm the details of your account (K number and hosting URL) in order for our team to process your cancellation.
TestRail Cloud is always cancelled at the end of a billing cycle (i.e., to the end of a month).
Please note that data in cancelled accounts will be removed after a period of time. We recommend downloading a backup of your data from Administration > Data Management > Schedule Export.
TestRail Cloud – Yearly Subscriptions
1. How do I purchase an annual prepaid subscription for TestRail?
A prepaid TestRail Cloud subscription can be purchased within TestRail via the Administration > Overview tab by selecting the option Manage your subscription. This subscription includes a 5% discount.
2. How can I renew my annual prepaid subscription?
Based on the Terms and Agreement, the subscription will automatically renew if the auto-renewal toggle remains enabled. A new subscription term will begin, and a corresponding invoice will be generated.
Please note that once a renewal invoice—whether auto-generated or manually created—has been issued, it cannot be cancelled anymore.
To opt out of automatic renewal, please disable the auto-renewal toggle in your Billing portal or contact TestRail Support before your renewal date.
The Billing portal contacts can easily turn off the auto-renewal toggle in your Billing Portal, allowing you to adjust your next renewal. You'll be able to read more about it here.

3. How can I pay for the invoice?
Once an invoice is issued, the TestRail Cloud prepayment is applied to your account as a subscription balance. Payment for this invoice will be due within 30 days, based on our net 30 payment terms.
For subscriptions under $5k, payment must be made via credit card under our standard Net 30 terms.
For all other annual invoices above $5k, we also accept wire transfers, with the same Net 30 payment terms. Our invoices include complete banking details for your convenience, as well as purchase order references if provided during the purchasing process.
2. How does billing work?
TestRail billing is processed at the beginning of each month for the previous month’s usage and is based on the number of users in your purchased tier.
Remember that you may freely adjust the number of active users at any time, while the charges will remain based on the purchased tier.
If your maximum active user count exceeds your purchased tier, your billing will be adjusted to reflect the higher applicable subscription pack.
What if I add more users to the TestRail tool than what I purchased for?
If the designated TestRail administrator adds more users than were originally purchased, a warning message will be displayed before the changes are made to ensure they are aware of the potential impact of the change on the subscription and billing. Please see below:
Once the “Yes, Upgrade” button is selected, you will receive an email to confirm the changes made. Once confirmed, the higher user count becomes your new billing baseline.
You can deactivate users within your instance, but this won’t affect billing, and you’ll still be charged for the new upgraded user count.
However, if you just want to stay in your purchased tier, you may deactivate users before adding new ones, keeping your billing baseline as the one you purchased.
Downgrades (reducing users):
Downgrades must be requested and can only be processed at the time of renewal.
3. How do I get monthly statements?
Statements are sent automatically to all the designated Billing contacts each month as deductions are made from your account. Copies of issued statements are available in the Subscriptions section of the Billing Portal. Up to 24 months' worth of statements are available in the TestRail Billing portal. If you need any statements that are not in the portal, please reach out to the Customer Success team.
4. How do I cancel my TestRail Cloud (Prepaid) subscription?
Annual subscriptions are auto-renewed at the earliest of 12 months (or the end of your subscription term for multi-year), or once all prepaid usage is consumed.
In case you’d like to cancel your subscription, toggle off the autorenewal from your Billing portal before the renewal date. An important reminder: You must be an admin of the account to toggle off the autorenewal.

TestRail Server (annual license)
1. How do I purchase a TestRail Server license for my local (on-premise) installation?
TestRail Server can be purchased on our online shop here.
Alternatively, you may request an invoice or quote via a ticket request here.
2. How does TestRail billing work?
TestRail Server is sold in designated user packs on an annual basis. The number of users available within your TestRail installation is based on the user pack purchased. For TestRail Server licenses, an invoice will be generated, and payment for this invoice will be due within 30 days, based on our net 30 payment terms.
The TestRail Software supports various payment options for the invoice, such as credit card payments, bank/wire transfers, or checks. Payment details are listed on the invoice upon purchase.
3. What if I choose not to renew my license after the term ends?
You can turn off the auto-renewal toggle in your Billing Portal, which will allow you to adjust or cancel your next renewal (read more about the toggle button here).
The license will automatically renew unless changes are communicated to TestRail at least 30 days before the expiration date, at which point a new license and invoice will be generated.
